ACCOUNTS RECEIVABLE & PAYABLE ANALYST | WHEATLEY | FULL-TIME EMPLOYMENT

Reporting to the Accounting Supervisor, the Accounts Receivable and Payable Analyst will be responsible for maintaining customer accounts and A/R credit, processing invoices, collecting bad debt, administering proper account coding, review and processing of DCR/FPR’s including fish purchase orders and maintain files on all customers and fish payables. 

Responsibilities: 

Receivable 

  • Process, post and email/fax invoices, prepare miscellaneous sales order/invoices as needed 
  • Process, post and reconcile daily bank deposits as needed 
  • Submit invoices via EDI sources (SPS Commerce, JETRO, iTrade) for participating customers 
  • Communicate with internal/external sales representatives, logistics and/or accounting professionals as necessary to complete role responsibilities. 
  • Review all credit balances, refunds, and/or adjustments, apply any adjustments, corrections to corporate billing records and ensure accurate coding including approval for all 
  • Prepare and review A/R aging reports and customer credit limits on a weekly/monthly basis 
  • Form collection strategies to mitigate customer objections to ensure timely A/R payments. 
  • Establish and track payment arrangements for outstanding accounts; escalate/ transfer to delinquent accounts or outside collection agency as necessary (only when approved by Accounting Supervisor and/or Finance Controller) 

    Payable 

    • Complete three-way match on invoices/ DCR’s / FPR’s (purchase order, receiving report, vendor invoice) 
    • Enter /verify multi lines from DCR’s and FPR’s for data entry accuracy in accounting systems 
    • Process credit memos and ensure accurate coding and approval for all fishermen medical benefits/ fishermen supplies/ etc. 
    • Prepare batches by lakes for review of documentation and accuracy, monitor account balances and preparation for payments (processed by lakes) 
    • Review accounts payable reports and ensure accounts are paid in a timely manner ensuring credits are taken / process weekly vendor payments 
    • Monitor prepayments to ensure offsetting transactions approved by Accounting Supervisor and/or Finance Controller 

    Additional Responsibilities 

    • Ensure the strict confidentiality and privacy of financial records as they relate to the organization, its customers and vendors. 
    • Assist in the month-end and year-end close 
    • Investigate and resolve issues as they arise 
    • Provide support in periodic internal and external audits • Collaborate with the Accounting Supervisor and/or Finance Controller to maintain collection goals and resolve any inquiries/discrepancies to maintain A/R, A/P performance levels.
    • File documentation on a timely basis 
    • Other duties as required from time to time. 

      Qualifications: 

      • 2 years + experience in a similar role preferred 
      • Qualifications is Accounting / Finance or related field considered an asset 
      • Strong proficiency with MS Office (Excel, Word, PowerPoint)
      • Problem solving, decision making, critical thinking, task planning, organizational skills, detail oriented, excellent time management and communication skills, both written and oral. 
      • Ability to work as part of a Team as well as independently in a fast-paced environment 
      • Must be reliable and punctual 

      Physical Abilities 

      • Employee must be able to stand for long periods. 
      • Employee must be able to bend, lift and twist. 
      • Employee must be able to lift to 50 lbs. 
      • Employee must be able to meet the physical demands of the job

      INVENTORY CONTROL SPECIALIST | WHEATLEY | FULL-TIME EMPLOYMENT

      Reporting to the Production Coordinator, the Inventory Control Specialist is responsible for managing inventory movements across Presteve’s facilities, and providing timely and collaborative communication with different stakeholders to ensure we meet customers demands aligned with our strategic business objectives.

      Responsibilities:

      • Responsible for ensuring all inventory related transactions are posted and reported according to Presteve’s guidelines and time allotted.
      • Ensure materials are ready and available for production when required.
      • Assist in scheduling, conducting and overseeing regular inventory count activities and random audits.
      • Reconcile and post DCR’s (Daily Catch Reports).
      • Reconcile and post PO’s.
      • Make rounds to all work areas/departments to reconcile outputs vs consumptions in production through NAV.
      • Validate output labels.
      • Trouble shoot issues with labels.
      • Investigate and determine the causes of inventory discrepancies of day-to-day inventory transactions.
      • Complete daily cycle counts and assist with inventory investigations/reconciliations.
      • Complete cold storage and intercompany inventory transfers.
      • Collaborate with the Inventory Manager to tackle key issues.
      • Coordinate and lead scanning related activities, training and improvement related feedback.
      • Assist in month end counts.
      • Supervise numerous daily physical inventory counts and reconcile to NAV.
      • Provide feedback to scanner operators.
      • Conduct daily scanner meetings to identify key issues.
      • Perform some data entry activities.
      • Maintain a clean and tidy work area.
      • Follow company policies and procedures.
      • A willingness to develop, learn and be trained in other areas.
      • Vacation and Days off backfill to Inventory Manager.
      • Other duties as required.

      Technical skills and qualifications:

      • 2-3 years’ experience in similar role or with experience in Project Management or Production Management.
      • Experience with NAV software is an asset.
      • Attention to detail.
      • Excellent oral and written communication skills to communicate effectively with all levels within the organization and with external stakeholders.
      • Time management skills.
      • Working experience in the food industry preferred.
      • Strong computer skills in a Windows environment. Familiar with the use Excel (pivot tables) and Power Point.
      • Ability to analyze data and information, evaluate options, and make informed decisions that align with the company’s values and goals.
      • Able to work independently and in a group setting as required.

      Work Conditions

      • Travel between facilities may be required.
      • Ability to attend and conduct presentations.
      • Occasionally exposed to a cold and wet environment.
      • Must be able to bend, lift and twist.
